JOB DESCRIPTION:

We are seeking an individual who is eager for responsibility and ownership over this role.

You will provide day-to-day support to the Condominium Management Team; this involves awareness and understanding of all ongoing activities and includes on-going knowledge and support of those activities.

You will assist in running the day to day operations of multiple properties with interest in working towards becoming a Condominium Manager.

You may prepare a variety of documents and correspondence on a wide range of issues.

You may serve as the initial contact for individuals, both external and within the Stellar portfolio, seeking information/assistance in areas relating to condominium management.

You may receive and use discretion to prioritize or refer incoming mail, maintaining a detailed awareness of correspondence and other communications.

You may sort, distribute, and/or file items in the current working e-files, complete data entry and create new activity files as necessary; ensuring e-filing system is accurate and up to date.

You will work collegially with other team members, take part in team meetings and cooperatively make decisions or recommendations in conjunction with other members regarding the management of the office, clients and any issues of an administrative and condominium management support nature.

You may conduct site visits and site deliveries as required.

You will assist in project monitoring, updating contact information databases, and meeting preparations.

You may order office supplies and maintain photocopy/project areas.

You may also work on special projects and/or provide special project support as required.

QUALIFICATIONS:

Administrative Assistant training or other post-secondary education required; work experience equivalencies may be considered.

Familiarity working in an industry governed by provincially legislated rules and regulations.

Ability to work independently, with honesty and integrity, and with limited supervision.

Exceptional organizational skills with the ability to multi-task and handle multiple deadlines.

Attention to detail and excellent record-keeping ability.

Superior problem-solving abilities.

Proven information management skills.

Strong communication (verbal/written), interpersonal and organizational skills.

Strong computer skills and experience with Microsoft 365 required.

Skill in website maintenance an asset.

Cross-cultural skills are an asset.

Experience working with senior administration/executives/management is an asset.

Second or third language an asset.

Familiarity with the Condominium Act of Alberta is an asset.

Valid Driver’s License and use of own vehicle is a must.
